Common questions
Is it really free right now?
Yes. Every new organisation gets its first 3 months completely free, every feature, unlimited use, no card required. Billing starts on 1 March 2027, so if you sign up before then your free period runs until at least that date. We'll tell you well before it ends. After that you choose a plan, or carry on with the free plan.
Will there ever be ads?
No. Not on the free plan, not on any plan. Our revenue comes from subscriptions. That's it. Ads are incompatible with the kind of tool we're building.
What's the difference between an organisation and a group?
The organisation is your club, society or association as a whole. It holds your members, your administrators and your plan. A group is a team, band, choir or section inside it, with its own members, events and calendar. One organisation can run many groups, and a member can belong to several of them.
Organisation administrators manage everything, every group included. Each group can also have its own administrators, calendar managers and member inviters, who look after that group only.
Do members need to sign in or install an app to RSVP?
No. Members join once: they accept their invitation and create an account. After that they answer each event straight from the invitation email with one click, without signing in. There is no app to install; TotumTeams runs in any web browser. RSVP is included in the paid plans and during your free months.
How do parents and guardians manage their children's attendance?
An organisation admin adds the child with a parent's or guardian's email address. The guardian accepts the invitation, then receives the child's event invitations, answers them, sets the child's availability and decides how much the child can do themselves. Guardian features are included in the Organisation and Pro plans.
Where is our data stored, and who can access it?
Your data is hosted in the EU and encrypted at rest. Inside your organisation, people see what their role allows. We never sell your data or share it beyond what running the service needs.
Who can see members' email addresses?
Only your organisation's admins. Group admins, calendar managers and other members see names, not email addresses.
Can one person belong to several organisations?
Yes. One account can be a member or admin of as many organisations as you like, and the portal shows them all together. Each organisation has its own plan.
What happens to our data if we cancel?
Nothing is deleted. Your organisation moves to the free plan and keeps its groups, members and history. If you're over the free plan's limits, you can't add new groups or members, and after 30 days you can't create new events until you upgrade or archive down.
Can I export or delete my personal data?
Yes, both from your account settings. Download gives you all your personal data as a file. Deleting your account removes your login and your name; our privacy policy explains what is kept and for how long.
Which languages does TotumTeams support?
English and Dutch. Each member picks their own language, and their emails arrive in it.
How do recurring events handle daylight-saving changes?
Recurring events follow your organisation's local time, so a weekly 20:00 training stays at 20:00 when the clocks change.
How do I move my team over from WhatsApp?
Create your organisation and a group, then invite your members by email. They accept the invitation and create their account. Children can be added with just a parent's email address. Once everyone has joined, send your next event from TotumTeams instead of the chat.
Can I cancel at any time?
Yes. No lock-in. Cancel whenever you like. You keep access until the end of your paid period. We don't charge early-cancellation fees on annual plans.
